Calculator guide
How to use quick PTO calculator
- 1. Choose the date range for your PTO calculator estimate. Use a calendar year, a pay period, or the window before a planned trip. The quick PTO calculator uses these dates to count how many accrual periods fall inside your estimate.
- 2. Enter your annual PTO hours and accrual frequency. If you earn 80 PTO hours per year on a bi-weekly schedule, the calculator converts that annual allowance into an estimated per-period accrual rate. For rollover rules, caps, and dated corrections, use the Advanced PTO Calculator.
- 3. Add your starting balance, PTO used, and hours per day. This turns PTO hours into PTO days, so the result is easier to use for personal planning. If you are estimating unused PTO value at year-end or before leaving a job, try the PTO Payout Calculator.
- 4. Review the estimated balance before planning time off. The result shows remaining PTO in hours and days, plus a calculation timeline. Use it as a planning estimate, then compare it with payroll or HR before booking travel.
PTO Calculator FAQ
What is a PTO calculator?
+
A PTO calculator estimates your paid time off balance from your accrual frequency, annual PTO allowance, starting balance, used PTO, and optional cap.
What is paid time off?
+
Paid time off is employer-provided time away from work that is still paid. Depending on the company, PTO can cover vacation, sick time, personal days, or one combined leave bank.
How does paid time off work?
+
Paid time off usually accrues over time or is granted as a fixed balance. Employees use hours or days from that balance when they take approved time away, and payroll keeps paying them for that time.
Paid time off vs vacation: what is the difference?
+
Vacation is usually time off for rest or travel. Paid time off is often broader because it may include vacation, sick leave, personal time, and other paid absences under one policy.
How do I calculate PTO earned per pay period from annual PTO hours?
+
Divide annual PTO hours by the number of accrual periods per year. For example, 80 annual PTO hours / 26 bi-weekly periods is about 3.08 hours earned per pay period.
How does a prorated PTO calculator work?
+
A prorated PTO calculator estimates only the portion of annual PTO earned during a partial year or custom date range. It counts the accrual periods in your selected dates, then multiplies those periods by your per-period PTO amount.
How do I use a PTO calculator for biweekly accrual?
+
Choose Bi-weekly as the frequency, pick the weekday your PTO accrues, and enter your annual PTO allowance. The calculator will automatically show the PTO hours earned each biweekly pay period.
Can I use this PTO calculator for 2026?
+
Yes. Set the start date and end date to your 2026 range, such as January 1, 2026 through December 31, 2026, then enter your accrual policy and any PTO already used.
Can this match an ADP PTO calculator?
+
It can help estimate the same basic PTO balance inputs, but ADP may use your employer's exact payroll rules, carryover settings, blackout dates, caps, and adjustments. Use this result as a planning estimate and compare it with ADP or HR.
How do I calculate PTO per pay period?
+
Divide your annual PTO hours by the number of pay periods in a year. Common examples are 26 biweekly periods, 24 semi-monthly periods, 12 monthly periods, or 52 weekly periods.
